About Evergreen Forest PTSA Board Positions and Chairs
EFPTSA Officers
Each officer is elected into their position by the PTSA members. They can serve up to two years in a single position. Any position may be a co position if two people would like to hold the position together. An officer's term runs from July 1-June 30. Elections are held at the last general membership meeting of each school year.
President
The President is the official spokesperson for the PTSA. They work with all board members and committee chairs throughout the year to ensure events and activities are proceeding smoothly and all deadlines are met. They are the communication link between the PTSA and the school and they meet with the principal monthly to organize events. The President also plans agendas and leads all PTSA meetings.
Vice President
Along with standing in for the President when they're unavailable, the Vice President assists with communication with the rest of the PTSA and event chair coordination. This position is a great way to see what it takes to lead our PTSA.
Vice President of Community Donations & Fundraisers
The Vice President of Community Donations and Fundraisers is involved in any fundraising activities. This position plays a critical role for the Fall Fundraiser and assists any committee chair person who elicits donations for events. This position is great for someone who loves to reach out to the community.
Secretary
The Secretary plays a vital role to the PTSA. Duties include:
Treasurer
The treasurer is the person responsible for managing the funds of the PTSA on behalf of the membership and the board. This position is in charge of the following:
Membership
Our membership position is the lead when it comes to promoting our PTSA. This position leads our back to school membership drive and organizes PTSA information tables at other events throughout the school year. They are also in charge of maintaining our presence in the state PTSA membership database.
Member-At-Large
This position is part of the board, but doesn't have any direct responsibilities other than attending monthly board meetings. This is a good position to see how the board works and be able to provide input on all the inner workings. This position will often times also chair a PTSA event, but it isn't required.

Secretary
The Secretary plays a vital role to the PTSA. Duties include:
- Taking meeting minutes at all board and general meetings
- Updating the PTSA's Secretary of State information annually
- Participating in updating the PTSA Standing Rules annually
- Maintaining PTSA records and policies
Treasurer
The treasurer is the person responsible for managing the funds of the PTSA on behalf of the membership and the board. This position is in charge of the following:
- Reconciling monthly bank statements
- Processing reimbursement requests
- Depositing funds
- Budget reports
- PTSA taxes
Membership
Our membership position is the lead when it comes to promoting our PTSA. This position leads our back to school membership drive and organizes PTSA information tables at other events throughout the school year. They are also in charge of maintaining our presence in the state PTSA membership database.

EFPTSA Committee Chairs
Committee chair positions are appointed by the PTSA board for the current school year (July 1 - June 30). Committee chairs may be held by one or more people (advised for larger events) with no limit to how many times a person can hold a chair position. The chair is responsible for organizing, coordinating, and communicating their activity to the rest of the board.
Bingo Night
Bingo night is one of our larger events during the school year. Planning for this event typically begins in December to allow for the raffle and price donation drive that goes from January to February. Bingo night, itself, is usually held in early March.
BoxTops
Now that BoxTops have moved to electronic form, this person is responsible for managing our BoxTops online account and occasional advertising through out the year to encourage parents to scan those receipts!
Bulletin Boards
The PTSA has a bulletin board just outside of the office at Evergreen Forest and this chair's job is to make it look its best. Filled with a list of upcoming events and/or fun inspiring messages, the creative possibilities are endless! The bulletin board is often updated every other month or quarter depending on the number of upcoming events.
Candy Grams
Candy Grams is a fun event just for the kids that involves sending candy canes to their friends. Event planning starts in mid-November and ends with the distribution of candy to teachers the week before winter break.
Field Day
Field Day is an all day event occurring on a Friday in June involving games, arts, sports, and food. Organizing this event involves:
Fall Fundraiser
The Fall Fundraiser is the largest event of the year. This event requires working with the fundraising vendor starting in August and wrap up by the end of October. Most of this time is the fundraising activity itself where the kids raise money and earn prizes.
Giving Tree
This yearly event supports local Evergreen Forest families. This person works with the school counselor starting in October to organize the families' needs for the current year. The Giving tree event runs from fall conference week until first week of December, so most of this events activities are bunched in October and December with a little coordination happening during November.
Harvest Carnival/Trunk or Treat
This is a large, free event that takes place on the Friday of fall conference week. The event can be either an outside event where volunteers give out candy from the trunk of their cars with some games and activities, or an indoor carnival with fall/Halloween themed games. Planning for this event starts in late September to allow time for coordinating volunteers and ordering any supplies that might be needed.
Movie Night
The Evergreen Forest Elementary PTSA typically hosts three movie nights per hear. The movies can be shown in or outdoors with planning starting one month prior to the scheduled event.
Olympia Junior Programs (OJP) Representative
This person is a representative between EFES and Olympia Junior Programs (OJP) to coordinate our school's attendance at two live theater performances. A representative is required to attend an orientation meting, coordinate with the school on distributing information and permission slips for event dates, coordinate volunteers/ushers, and attend both performances as volunteer lead for the school.
Spirit Wear
Spirit Wear is a twice a year event where children and parents are given an opportunity to order Evergreen Forest Elementary themed clothing merchandise. The person who runs this event works with a clothing vendor to get the online store ready for orders. Once the vendor delivers the orders, the chair person coordinates the distribution of the orders to the children and their families. Planning for this event starts three weeks prior to the event itself with the distribution effort taking another week after the orders come in.
Teacher/Staff Appreciation (Holiday Treats & Appreciation Week)
This chair person is in charge of spoiling our wonderful teachers and staff at Evergreen Forest Elementary. We usually have two planned events to spoil the staff and show them some appreciation for growing our children's minds, but a creative chair may have some other idea up their sleeves. Each planned event usually starts planning activities a month before the event.
Website
This person is in charge of working with board members and committee chairs to keep our website up-to-date with current activities and events. Updates are typically made monthly, after board meetings.
Yearbook
This person is in charge of coordinating and arranging the Evergreen Forest Elementary School yearbook. They work with school photographers, Evergreen Forest staff and book printer to make the yearbook a reality.

- Sectioning off the field and playground for activities
- Renting equipment
- Organizing the volunteers throughout the day.
